1. Overview
1.1 What is PayDrop Media Library?

PayDrop Media Library is a Shopify-embedded app that gives merchants a centralized space to upload, organize, and manage store assets: images, videos, PDFs, spreadsheets, and other documents. It lets you assign specific files or folders directly to individual customers, who are then notified automatically and can view or download everything shared with them from a dedicated page on your storefront.
Whether you are sharing private documents, brand assets, order paperwork, or bonus content, PayDrop Media Library integrates directly with your existing Shopify customer records. There is no separate platform required; files live in your Shopify Admin, and customers access them through a page on your own storefront.
PayDrop Media Library is capable of the following:
- Uploading and storing images, videos, documents, and other file types with plan-based storage limits
- Organizing assets into nested folders (folders within folders) for structured storage
- Tagging files with custom labels and filtering the library by tag
- Maintaining a customer directory synced from your Shopify store, or creating customers manually
- Assigning specific files and/or entire folders to individual customers
- Automatically emailing customers when new files are assigned, using a customizable template
- Giving customers a self-service storefront page to view and download everything assigned to them
1.2 Navigation Overview
PayDrop Media Library appears in your Shopify Admin under Apps then PayDrop Media Library. Once inside the app, you will find the following pages in the left sidebar:
Media Library: The main workspace for uploading files, creating folders, and tagging assets.
Customers: Browse all customers, create new customer records, and assign files or folders to them.
Settings: Create or update the storefront page and configure the email sent when files are assigned.
Documentation: In-app reference material covering the app’s features.
Support: Direct access to help resources if you run into any issues.
2. Media Library

The Media Library is the central hub for uploading and organizing store assets. To access it, click Media Library in the PayDrop sidebar.
2.1 Media Library Dashboard
At the top of the page, a usage bar shows how much storage has been used out of your plan’s total, broken down by file type: Images, Videos, Documents, and Other. Below that, the Filter by Tag panel lists every tag currently in use, the folder tree on the left shows your full folder structure, and the Folders and Files grids on the right show everything at the current location. Each file can be viewed, copied as a link, downloaded, or deleted using the icons beneath it.
2.2 Creating Folders
Folders help keep assets organized by campaign, customer, or content type. To create a folder, click Create Folder in the top-right corner of the Media Library, enter a folder name, and click Create.

Once created, the new folder appears both in the folder tree on the left and in the Folders grid at the current location. Folders can be nested by creating a new folder while already inside another one.

2.3 Uploading Files
Files can be uploaded into the currently selected folder (or Home) using the Upload File button in the top-right corner.

Clicking Upload File opens the Upload Assets dialog. Files can be added by clicking the upload area or by dragging and dropping them in, and multiple files can be uploaded at once. Maximum file size depends on the store’s billing plan.

After a file is selected, it appears in the Selected Files list with its size, and can be removed individually or cleared entirely before uploading. The Tags field accepts comma-separated values so the file can be labeled at upload time and found later using the tag filters. Clicking Upload completes the process.

2.4 Tagging and Filtering Files
Every tag applied to a file becomes a clickable filter chip under Filter by Tag. Selecting a tag narrows the Files list down to only the assets carrying that tag, which is useful for locating related files quickly across different folders.

3. Customers

The Customers page is where files and folders get assigned to individual customers. To access it, click Customers in the PayDrop sidebar.
3.1 Customers List
Each row in the Customers list shows the customer’s name and email address, along with a running count of the files and folders currently assigned to them. The Sync Customers button pulls the latest customer records from your Shopify store, and the Assign/Edit button opens the assignment screen for that customer.
3.2 Creating a Customer Manually
In addition to syncing existing store customers, a new customer record can be added directly from this screen using Create Customer. The dialog collects a first name, last name, and email address the email is required, since it is where the assignment notification will be sent.

3.3 Viewing a Customer’s Assigned Items
Clicking Assign/Edit for a customer opens their detail page, showing basic customer information and a full list of everything currently assigned to them, both individual files and entire folders. Each row can be removed independently using the Remove button, and the Assign Files/Folders button opens the assignment picker to add more.

3.4 Assigning Files and Folders
The Assign Files & Folders dialog presents the entire Media Library as an expandable tree. Checking a folder selects that folder and everything currently inside it; individual files can also be checked independently without selecting their parent folder. The Save button shows a live count of the total items selected before the assigned file/folder is confirmed.

4. Settings

Settings page — Storefront Page and Email Notification configuration
The Settings page controls the customer-facing storefront page and the email notification sent whenever files are assigned. To access it, click Settings in the PayDrop sidebar.
4.1 Storefront Page
The Storefront Page section lets you publish and maintain the page on your store where assigned customers view their files. Create Page publishes a new Assigned Files page on the storefront, and Update Page pushes any subsequent configuration changes to that page.
4.2 Email Notification
When Email Notification is enabled, PayDrop Media Libray automatically emails a customer any time files or folders are assigned to their account. The Email Subject and Email Body fields are fully editable and support the placeholders {{customer_name}}, {{file_names}}, {{page_link}}, and {{shop_name}}, which are replaced with the customer’s actual details when the email is sent. Preview Email can be used to check formatting before saving changes.
5. Customer-Facing Experience
This section describes what a customer sees after files have been assigned to their account.
5.1 Assigned Files Page (Storefront Portal)
From the storefront, signed-in customers can open their personal Assigned Files page to view everything shared with them, organized into Folders and Files sections. Folders can be expanded to reveal subfolders and their contents, and every item includes a Download button for direct access.

5.2 Assignment Notification Email
Once files are assigned and Email Notification is enabled, the customer receives an email using the subject and body configured in Settings, listing the newly assigned file names and a Check button linking directly to their storefront Assigned Files page. This entire process from assignment to email delivery happens automatically without any manual action required from the store owner.
