Overview
Book’d is a powerful appointment booking app for Shopify stores, built by The Shop Ninjas. It transforms any Shopify product into a bookable service, allowing your customers to schedule appointments directly from your storefront — without ever leaving your store.
Whether you run a dental clinic, consulting firm, beauty salon, fitness studio, or any service-based business, Book’d provides a seamless end-to-end booking experience: from customer scheduling on the frontend to full order and calendar management in your Shopify admin.

Prerequisites & Installation
Before setting up Book’d, ensure you have the following:
- A Shopify store with admin access
- Book’d installed from the Shopify App Store
- At least one Shopify product that will serve as a bookable service
To install:
- Visit the Shopify App Store and search for Book’d by The Shop Ninjas
- Click Add app and follow the installation prompts
- Grant the required permissions
- Once installed, navigate to Apps > Book’d from your Shopify Admin sidebar
Enabling the booking widget on your storefront:
After installation, you must enable the app block on your theme:
- Go to Online Store > Themes > Customize
- Open the product page template
- Find the Book’d app block and toggle it on
- Save your theme
Dashboard Overview
The Book’d dashboard is your central hub for monitoring booking activity at a glance.

The dashboard displays four key metrics at the top:
Metric
Total Users: Total number of customers who have made bookings.
Upcoming Bookings: Count of bookings scheduled for the future
Completed Bookings: Count of past/completed appointments
Total Revenue: Cumulative revenue generated from all bookings
Below the metrics, you’ll find:
All Bookings chart: A time-series area graph showing booking volume over a selectable date range (Last 7 Days, Last 30 Days, etc.)
Top Products Booked: A donut chart showing the percentage breakdown of bookings by service/product
Upcoming Bookings table: A quick preview of your next scheduled appointments
Services
Viewing & Managing Services
The Services section lists all Shopify products that have been configured as bookable services in Book’d.

Each service entry shows:
- Service name (linked to its configuration page)
- Status badge (Enabled / Disabled)
- Total Variants count
- Edit (pencil icon) and Delete (trash icon) action buttons
You can filter the list using the Filter products search bar, and sort by Recently Updated or other criteria.
Note: Services in Book’d correspond directly to products in your Shopify store. To add a new service, create the product in Shopify first, then configure it in Book’d.
Basic Configuration (Service Settings)
Clicking the edit icon or service name opens the service configuration page. The Basic tab covers the core settings for that service variant.

Variant Configuration fields:
- Service Duration (Hour): The number of full hours for the appointment
- Service Duration (Min): Additional minutes added to the hour value (e.g., 0 hrs + 30 mins = 30-minute session).
- Meeting Venue / Appointment Mode: How the appointment takes place: Address, Phone Call, Google Meet, or Zoom
- Address: Physical address displayed to the customer (visible when mode is set to Address)
- Booking Capacity: Maximum number of customers who can book the same time slot. Set to 1 for private sessions; increase for group classes
Assign Members:
Scroll down to the Assign Members section to associate specific team members with this service. Type in the search field and select from your existing members. Assigned members appear as removable tags. Bookings for this service will be allocated to these members.
Group Booking Settings:
If you are on the Pro plan, you can enable group bookings per service, allowing customers to reserve multiple spots in a single time slot for themselves and others. On the free plan, this section displays a Pro upgrade notice.
Click Save (top right) after making changes.
Availability
The Availability tab controls when this service can be booked each week.

Schedule Options:
Choose one of three scheduling modes:
- Apply the Same Schedule to All Days: All 7 days use the same start/end time
- Apply the Schedule to Weekdays Only: Mon–Fri are available; Sat–Sun are marked as Unavailable automatically
- Apply the Schedule to Selected Days: You manually choose which days are active and set individual hours
Weekly Schedule:
For each active day, set the Start Time and End Time using the dropdowns (in 15-minute increments). Days marked as (Unavailable) will not show any bookable slots to customers.
Buffer Time
The Buffer Time tab lets you add automatic padding between back-to-back appointments.

Buffer Time After Meeting (minutes): Enter the number of minutes to block after each appointment ends before the next slot becomes available.
Pro Feature: Buffer time is only available on Pro plans. Free plans default to 0 minutes of buffer time.
Break Times
The Break Times tab allows you to block out recurring unavailable periods within a working day such as a lunch break.

Click Add Break to create a new break entry. Each break includes:
- Day: Apply to All Days or a specific day of the week.
- Label: A descriptive name for the break (e.g., “Lunch Break”).
- Start Time: When the break begins.
- End Time: When the break ends
Any time slot that overlaps with a break period will be hidden from customers on the booking widget. You can add multiple breaks per service. Use the red trash icon to remove a break.
Holidays & Blackout Dates
The Holidays tab lets you mark specific calendar dates as completely unavailable for bookings.

Holiday Tab
Click Add Holiday to add a new blackout date. Each entry includes:
- Date: The specific date to block (DD/MM/YYYY).
- Label: A name for the holiday (e.g., “Eid Holiday”, “National Day”).
- Recurring (annual): Check this box to automatically block the same date every year.
Blackout dates apply only to the specific service being configured, giving you per-service holiday control.
Orders (Bookings Management)
The Orders section provides a complete management interface for all bookings across your store.

Tabs:
- Upcoming: All future appointments not yet completed.
- Past: Completed appointments.
- Cancelled: Appointments that were cancelled.
- Customers: An overview of all customers who have made bookings.
Table columns:
- Order No.: Shopify order number linked to the booking
- Team Member: The assigned staff member for the appointment
- Appointment Name: The service/product booked
- Appointment Time: Scheduled date and time
- Created At: When the booking was made
- Invitee Name: The customer’s name
- Action: Options to view, reschedule, or cancel
Filtering & sorting: Use the product name filter, the time range dropdown (All Time, Last 7 Days, etc.), and the Show/Hide Columns button to customize the view.
Sync: Click the Sync button (top right) to manually refresh and reconcile booking data with Shopify orders.
Bookings Calendar
The Bookings Calendar provides a visual overview of all scheduled appointments in a traditional calendar format.

Views available: Month, Week, Day, List toggle between them using the buttons in the top right corner.
Navigation: Use the < and > arrows to move between time periods, or click Today to return to the current date.
Booking entries appear on the calendar as colored event pills showing the appointment time and service name. Click any event to view full booking details.
Use the Search bookings bar (top right) to find a specific appointment by name or service.
Integrations
The Integrations page connects Book’d with external calendar and video conferencing tools.


Google Meet
Connect your Google account to automatically generate a unique Google Meet video link for every new booking.
To connect:
- Click Connect under the Google Meet section
- Sign in with your Google account and authorise Book’d
- Once connected, you will see a “Google Meet is connected” confirmation and a Disconnect button
When a customer books a service with the venue set to Google Meet, a meeting link is auto-generated and included in their booking confirmation.
Google Calendar Sync (Pro)
Automatically sync all bookings to your Google Calendar so appointments appear as events.
Pro Feature: Google Calendar Sync requires a Pro plan. Click Plans & Pricing to upgrade.
Microsoft Calendar Sync (Pro)
Automatically sync all bookings to Microsoft Outlook Calendar.
Pro Feature: Microsoft Calendar Sync requires a Pro plan. Click Plans & Pricing to upgrade.
Zoom
Connect your Zoom account to auto-generate Zoom meeting links for virtual appointments.
To connect:
- Create an OAuth app in your Zoom App Marketplace account
- Set the Redirect URI.
- Copy your Zoom Client ID and Zoom Client Secret from the Zoom app settings
- Paste them into the respective fields in the Book’d Integrations page
- Click Save Zoom credentials
- Click Connect Zoom to authorize your account
Once connected, Zoom meeting links will be auto-generated for any service with the venue set to Zoom.
Members Management
The Members section allows you to manage your team — the staff, practitioners, or consultants who conduct appointments.

The members table displays:
- Name: Team member’s display name
- Email: Their email address
- Roles: Their role (e.g., Consultant)
- Bookings: Total number of bookings assigned to them
- Status: Active or Inactive
- Actions: Edit or delete the member
Adding a member: Click Add Member (top right) and fill in their name, email, and role.
Once added, members can be assigned to specific services in the Basic Configuration tab. Customers may see the assigned member’s name displayed in their booking confirmation and on the cart page.
Settings
The Settings page lets you configure app-wide preferences and notification templates.
Recurring Bookings (Pro)

Allow customers to book repeating appointments on a daily, weekly, or monthly schedule in a single checkout.
Pro Feature: Must be on a Pro plan to enable recurring bookings.
To enable (Pro only): Check the Enable recurring bookings checkbox and save.
Group Bookings (Pro)

Allow customers to book multiple spots within the same time slot ideal for classes, workshops, or events where multiple participants attend together.
Pro Feature: Must be on a Pro plan to enable group bookings.
To enable (Pro only): Check the Enable group bookings checkbox and save. You must also enable group bookings per-service in the Basic Configuration tab.
Email Reminders


Automatically send email reminders to customers before their upcoming appointment.
To enable: Check the Enable email reminders checkbox.
Reminder Timing: Set how many days before the appointment the reminder is sent. Free plans include 1 reminder (1 day before). Pro plans allow multiple reminders with custom timing.
Email Template fields:
- Email Subject: The subject line for the reminder email
- Email Template: The body of the email. On free plans this is a read-only default template
Custom Email Templates are a Pro Feature. Free plans use the default template only.
Cancellation Email

Send an automatic email notification to customers when their booking is cancelled.
To enable: Check the Enable cancellation emails checkbox.
The cancellation email template uses the same variable system as the reminder email, with the addition of {appointment_time} reflecting the original booking date and time.
The default template includes:
- Service name
- Original date and time
- Duration
- Meeting link / address / phone
- A prompt to contact the business if they wish to reschedule
Custom Email Templates are a Pro Feature.
Reschedule Email

Automatically notify customers when their appointment has been rescheduled to a new time.
To enable: Check the Enable reschedule emails checkbox.
The reschedule email template includes the same variables, with {appointment_time} reflecting the new booking date and time.
Custom Email Templates are a Pro Feature.
Widget Customization (Pro)

Customize the visual appearance of the booking widget to match your store’s branding.
Widget Color: Enter a hex color code (e.g., #2e7d5a) to change the primary color of the booking widget’s buttons and highlights.
Remove App Branding Footer: When enabled, the “Powered by Shop Ninjas” footer is hidden from the booking widget.
Pro Feature: Both color customization and branding removal require a Pro plan.
Customer-Facing Booking Flow
Here is how the booking experience looks to your customers on the storefront:
Step 1: Product Page
When a customer visits a service product page, they see a “Schedule Your Time” button in place of the standard Add to Cart / Buy Now buttons.

The product page displays the service name, price, description, and the scheduling CTA.
Step 2: Date & Time Selection
Clicking Schedule Your Time opens the Book’d booking widget an embedded modal showing:

- A monthly calendar with available dates highlighted
- Time slot buttons on the right side showing available appointment times for the selected date
- A timezone selector (defaults to the service’s configured timezone)
- An Available Seats indicator (for services with capacity > 1)
The customer selects a date, then clicks their preferred time slot, then clicks Next → to confirm the selection.
Step 3: Cart & Checkout
After selecting a time slot, the booking details are added to the Shopify cart. The cart page displays a full summary of the booking attributes:

The customer then proceeds through Shopify’s standard checkout. Once payment is confirmed, the booking is created in Book’d and all configured email notifications are triggered.
